Position overview
FINCA Canada is looking for a Client Relationship Coordinator to steward donations from a range of constituents, and manage the administrative responsibilities of a small but growing team.
Reporting to the Executive Director, the Client Relationship Coordinator is responsible for providing individual donors with timely responses to all donor inquiries. He/she is responsible for managing and processing donations from donors, serving as the central repository of FINCA’s institutional knowledge on the assigned constituencies, and managing all aspects of Raiser’s Edge, the donor database (including database integrity, gift processing, donor acknowledgements, gift reporting, and process documentation). The Client Relationship Coordinator will work closely with the US-based Director of Direct Mail, to administer and implement strategies for all fundraising programs (direct mail, mid-level, and major donors; monthly donations, tribute/memorial gifts, stock donations, legacy giving, etc).
Essential Duties (other duties may be assigned)
1. Donor services & administration
  • Respond to all donor inquiries received by phone, mail, and email in a timely manner
  • Process all donations and other mail received at FINCA Canada
  • Deposit cheques at the bank on a weekly basis and file documentation accordingly
  • Process and electronically file direct deposits, and manage relationships with third party donors
  • Process donor acknowledgements
  • Resolve donor issues and requests, including providing receipt copies, tracking down missing donations, and donor information changes, working with internal/external staff as needed
  • Effectively manage Raiser’s Edge, phone log, and mail suppression list
  • Provide a report of monthly donations to the Direct Mail team
  • Follow up with lapsed monthly donors to re-engage them in the program
  • Provide acknowledgements to honourees in the Tribute/Memorial gift program
  • Prepare and send annual consolidated receipts to monthly donors
2. Fundraising
  • Support the Manager of Individual Giving and Donor Engagement to cultivate and steward all donor constituencies, manage donor upgrades, acknowledge major donors and new monthly donors
  • Review and edit direct mail and major donor mailings and monthly/quarterly newsletters
  • Support team in preparing and sending major donor mailings: manage the mailing lists, pull queries from databases, coordinate with suppliers (designers, printers etc.)
  • Assist with the logistics for donor events, working with internal staff and external partners
3. Office administration

  • Maintain FINCA Canada’s weekly priorities and compile monthly progress updates
  • Maintain FINCA Canada’s official books & records, providing documentation copies to teams
